Sample Outsourced Exchange Spam Services Implementation Overview

Overview
The implementation of Outsourced Exchange Spam Services is to be achieved in 3 distinct phases. Each phase has specific tasks and goals.


Phase 1:

Messaging Services drafts an informational email directed at Corporate’s general user audience, the following information should be included in this email:

1) An outline of the purpose and scope the Spam and perimeter Antivirus project;

2) An email address and ISO’s contact information for question and action’s in the event there is issues with service implementation;

3) A date sensitive staged implementation of the services beginning at a specific future date;

4) This email is to be sent out twice before services are turned on;

5) Two day’s before the services are turned on, a notification on element is to be posted as a service reminder.

Messaging Services (Title) will build an updated Exchange-Mail server with Windows 200 (fully patched) and Enterprise AV. Messaging Services (Title) will stage this system 1 week before the implementation of outsourced services as a back-out plan:

a. ISO and Messaging Services (Title) will train and familiarize themselves with the [Vendor] product / configuration;

b. Messaging Services will keep intact as a hot spare the old Exchange-Mail server for a week, in case the new system build fails.

Phase 2:

Messaging Services needs to:

1) ISO and Messaging Services (Title) will continue to train and familiarize themselves with the [Vendor] product / configuration interface;

2) Provide notification to ISP 10 days before the MX record is changed. The expectation is that the ISP will change the MX records on a Friday, and that the propagation / update would take between 12-24 hours to complete;

3) Messaging Services will provide the outside relay address for forwarding on [Vendor] service to Corporate’s gateway with a specific cut-over date.

Phase 3:

As part of the staging process Messaging Services (Title) will:

1) Configure the [Vendor] filtering services to initially only monitor traffic flow patterns.

a. For a period of 5 day’s Corporate IT will establish a baseline of service usage.

b. The ISO fields quarantine issues and builds an operational service support document.

2)     After a period of 5 day’s Messaging Services (Title) will configure the [Vendor’s] services to corporate policies and standards for Spam blocking and Anti-Virus filtering only. Lexicon content will not be enabled at this stage.

a. Messaging Services and ISO review daily reports of service and product usage.

b. The ISO fields quarantine issues and continues to build an operational service support document throughout this whole process.

3) Messaging Services (Title) will monitor service usage and product effectiveness for a period of 5 day’s.

4) Messaging Services (Title) will enable lexicon filtering using Corporate’s existing keyword-filtering criteria.

a. Messaging Services and ISO review daily reports of service and product usage and effectiveness.
